1. Record sessions worked in GP placements in the ePortfolio!
2. The clinical supervisor report from the session should be entered as a scanned document on the ePortfolio as part of a Learning Log entry.
3. Performing 72 hours of OOH in ST3 and 36 hours in GP placements in ST1 and 2 is a contractual obligation.
4. Document OOHs fully in the ePortfolio otherwise there is a risk of being further investigated by the Deanery to check that hours have been worked. Failure to comply may mean being reported to NHS Fraud Agency and the GMC.
1. Trainees must share LL entries with their Educational Supervisor as they are written. This allows the ES to read them as they are written. If all entries are shared in a block towards the end of the post then it is unlikely the ES will be able to read, comment and validate them fully.
2. As a guideline enter one LL entry per week in ST1.  Two per week in ST2 and three per week in ST3. If at any stage LL entries are significantly below this number it may be deemed by your ES or the Panel that there is insufficient evidence in the ePortfolio.  50% of LL entries should relate to clinical encounters. These should be the easiest to write and are the best method of demonstrating to the ES that there is learning from patients – a core principle of medical education.
3. We expect evidence to be compiled steadily throughout training. Evidence should not be collected in a compressed short period of time, as there is a risk of an Outcome 5 (insufficient evidence) at ARCP panel. With posts shorter than 6 months there must be good evidence showing learning relating to every post undertaken.

At least one LL entry each year must relate to audit activity. There should also be several significant events recorded each year – again these are good opportunities to write reflective log entries and also mirror what established GPs have to demonstrate for revalidation.

Scan this into the e portfolio which is valid for 3 years if completed during GP training.

PDP

This needs to be an active document, with evidence of regular updating – new entries added and existing ones completed. There should be several PDP entries relating to each 6 month period of training. These should follow the SMART principle (Specific, Measurable, Achievable, Relevant and Time-framed). Each entry should relate to one learning need.
Read the word pictures in the ePortfolio before rating.  Trainees should not rate themselves inappropriately as competent.  Refer back to evidence in the ePortfolio to help justify your rating. This will make it clear to your ES and to the Panel why a specific rating has been documented.
In a hospital post ST1 MSF needs to obtain at least 5 responses from clinicians. However in a GP ST1 post MSF needs to obtain 5 responses from clinicians and 5 from non-clinicians.
Make sure post details as recorded in the ePortfolio are up to date. If posts change, due to sick leave, maternity leave or time out-of-programme then the patch office must be informed, who can amend the ePortfolio accordingly.
The deadline for Educational Supervisor reports to be completed is 2 weeks before the Panel date. If the ePortfolio is not ready to be inspected by the Deanery at this point then the ACRP panel assessment cannot be made and the trainee’s progress through training may be affected.
